How to grant access to delegate users for viewing private items on shared calendars

SUMMARY

 

Delegate users have the ability to view private appointments on shared calendars when using CalendarShare for Outlook Web Access.  The configuration required for enabling the viewing of private items has to be applied by the mailbox owner using Microsoft Outlook Client. 

 

This article provides steps on granting access to delegate users for viewing private items on shared calendars.

 

RESOLUTION

 

To grant delegate access for viewing of private items, apply the steps below:

 

1.        Launch Microsoft Outlook on the client machine

2.        Click on Tools > Options > Delegates

3.   Select the delegate/s and click on the Permissions window

3.        Place a checkmark next to “Delegate can see my private items

4.        Click on OK, Apply and OK

When the following option “Delegate can see my private items” is unchecked:

 

A.     Delegates with Reviewer permissions can see a private item on a shared calendar with a key icon. The title of the appointment appears as Private Appointment. Delegate users will not be able to open the details of the private item.

B.     Delegates with Author and Editor Permissions can see a private item on a shared calendar with a key icon. The actual title of the appointment appears.  Delegate users will receive a You are not authorized to view this page” message when trying to open the details of the private item.
